Registration Terms & Conditions
1. Registration
If you would like a place for your child you are required to fill in a registration form, giving all the information asked for. The registration fee of £10.
2. Collection
Your child will be collected from school and escorted to our club. Your child should not be collected by anyone else without prior notice, as this presents a security issue. You must notify us if your child/children are absent.
If your child/children attend the Breakfast club you are required to deliver them to the club. We will provide your child with a healthy snack/breakfast as the club is committed to promoting “Healthy Eating”.
3. Contracted Days
The days that you notify us that your child/children will regularly attend the club are called “Contracted Days”. This means that if you tell us that you want your child/children collected on Monday through to Friday, then staff expects upon arrival to the school of collection, your child would be waiting to be collected. If you decide that you would collect your child or take your child on holiday instead of sending them to the club or if the school has extra closure days due to weather, heating etc., on a contracted day the fee will still be charged, There will be no reduction in price and you must notify us if your child is absent from school.
You can book a minimum of two contracted days per week. If your child is contracted for less than five days and you want them to be collected on other days, the club needs to be informed before 2.30pm. The fee for the extra days will be charged. If you no longer require your child to attend our club, you must give 2 weeks full paid notice.
4. Fees and Payments (price list will be presented at next step)
You will be required to pay for contracted days whether your child attends or not. Fees will only be carried forward if your child is having a medical appointment and we have received written notification. A late payment fee will be charged as follows: The first day late payment charge is £5.00 and £1.00 every working day thereafter.
You may be entitled to Childcare Tax Credits. Information on how to claim is available of the Inland Revenue Website www.inlandrevenue.gov.uk.
Please note that Happy-Days Club operate a no payment no pick up policy and all fees must be in advance by 5.45pm Friday regardless of what days your child attends the club. If we do not receive the fee by that time your child may not be collected from their school the following Monday and a late payment fee will be incurred.
Happy-Days policy is to forward uncollected fees onto a collection agency.
5. Collection
If you are late collecting your child we will charge you £2.50 for the first 15 minutes late after 6.00pm and a further £1.00 per minute thereafter. Please note that persistent late collection of your child and/or refusal to pay the late fees may result in your child’s place being cancelled.
6. Code of Conduct
We want all children in our care to have a safe and enjoyable time at the club. We believe children feel secure when they know that there are limitations set on their behaviour. We also believe that there are some things that we can do to encourage acceptable behaviour in our children. Please refer to the document named “Code of Conduct” that sets out these boundaries. Your signature is required on this document.
7. Accidents and Emergencies
There are staffs on site that have emergency first aid training. If your child has an accident they will receive first aid as appropriate to their needs. This will be written in our accident book and you will be asked to sign the entry (upon collection of your child). We will inform you if it becomes necessary to call an ambulance or take your child to hospital. It is your responsibility to ensure that all the contact numbers on the registration form are up to date and in working order.
8. Illness
You must inform staff if your child has been attending the club whilst having an infectious disease such as: Chicken Pox, Measles, Impetigo or vomiting/diarrhoea. The full list of infectious diseases, which require us to exclude your child from the club, is available on request. If your child becomes ill during their time at the club, you or your named person will be informed and will be expected to collect your child from the club promptly. If your child is off sick you must also notify the club by 2.30pm on that day.
9. Health and Medication
If your child requires regular medication, please indicate this on the registration. If you want staff to assist in administering the medication you will need to fill in a permission form giving details of dosage, how often and/or in what circumstances this medication should be given. In some cases, it may be necessary to demonstrate to staff how to give the medication. There are some medications, which require staff to have special training. Please discuss this at the time of registration. Also please could you indicate on the registration form if your child has special dietary or nutritional requirements for religious, ethical or health reasons?
10. Customer Care
We are committed to providing a quality service to you and your children and we welcome any suggestions that may help us to keep the standard high. If you have a suggestion, please talk to a member of staff so that your suggestions can be noted for further consideration or you can email at happy-days-club@hotmail.com.
11. Complaints
If you are unhappy about any aspect of the club, if in the first instance you should talk to one of the club managers. If you are not satisfied you may then put your complaint in writing and we will answer your complaint within 14 days. If you are still not satisfied you may send your complaint in writing to OFSTED.

A Full copy of the policies and procedures which cover all out of school hours clubs is available for you to look at. If you wish to see it please ask one of the club managers.

SAFEGAURDING CHILDREN STATMENT

Happy-Days Club will:
- Provide an environment, which will encourage acceptable behaviour.
- Provide activities that promote acceptable behaviour.
- Give children clear, consistent boundaries of acceptable and unacceptable behaviour that they can understand.
- Encourage no violent solutions to problems.
- Positively encourage acceptable behaviour through recognition and praise.
- Try to ensure that no particular group of individuals are associated with particular behaviour on the basis of gender, race, religion or class.
Unacceptable behaviour may include:
- Racism
- Bullying
- Aggression, verbal and non verbal
- Defiance
- Disrespect for staff, other adults and other children
- Constantly breaking boundaries
- Deliberate damage to club toys, equipment, furniture or premises
Sanctions
For the safety and well-being of all the children and staff it may be necessary to apply sanctions such as:
- Removing a child from specific activities or situations for a cooling of period
- Informing parents/carers
- Exclusion
When sanctions are applied staff will use discretion and understanding of each child, liaising with Club Managers as appropriate.
Exclusion may be used if a child’s behaviour is consistently disruptive to staff and other children. However, every effort will be made to ensure that this is our last resort.
Exclusion Procedure
If a child’s been sanctioned 2 times and both incidents have been recorded and brought to the parents/carers attention, the next occasion will result in the child’s exclusion from the club. When parents collect their child they will be informed of the circumstances, which led to the exclusion and the length of exclusion. In certain circumstance parents will be asked to collect their child immediately. Depending on the incident the exclusion may range from one day to one week. If the child’s behaviour continues to require sanctions leading to exclusion the child may be permanently excluded from the club. In exceptional circumstances, where we regard the behaviour of a child to be completely unacceptable or a danger to themselves or others attending the club they may be excluded immediately without following the above procedure.
Deliberate Damage
If children deliberately damage toys, equipment, furniture or the premises we may ask parents to pay for the cost of repair or replacement.
Behaviour of Adults
We expect all staff, children, parents, carers and visitors to behave reasonable when at the club. If parents/carers or other visitors behave in an unacceptable way, they may be asked to leave the premises and their child may lose their place.
Bullying
We take reports of bullying very seriously. If you believe that you child is being bullied it is very important that you inform the Club Managers of the situation so that appropriate advice and help can be given. Under no circumstances is a parent/carer permitted to reprimand verbally or physically any child they suspect of bullying their child while they are on the premises of the club.
Declaration
All children who attend must be registered with the club. Children remain at the club until collected by the named adult.
Name and address of the person collecting the child from the club, if different from above. Please note children will only be allowed to leave with the named person.
Details of second contact other than the collector who would be able to collect the child in an emergency
I consent to any emergency medical treatment necessary during the running of the club. I authorise the play/care staff to sign any written form of consent required by the hospital authorities if the delay in getting my signature is considered by the doctor to endanger my child’s health and safety.
(The overall responsibility for homework still lies with the parents/carers.)

3.00pm – 6.00pm
With a wide range of activities including arts and crafts, imaginative play and physical activities, our staff will engage with your children.
